Position Summary
Under guidance from the Professional Billing Administrator, plans, directs, manages and evaluates the Manual and Interface Charge Entry and Registration processes for the Physician Organization. Aids in the development, implementation, planning and monitoring of the operational aspects of the Charge Interface.

Position Activities

  • Directly manages 10 staff members as follows: 2 Accounts Clerk, 7 Account Representatives and 1 Account Administrator. Hires, fires, evaluates performance, provides feedback to staff, disciplines, conduct salary reviews and assesses personnel needs. Directs, develops, reviews and maintains the operational aspects of the NYPH-GE-CB Charge Interface process for the Department of Radiology. Reviews reports prepared by staff. Reports system problems to the GE-CB Applications Project Manager and the POIS Interface team. Develops and maintains system to ensure that all interface edits are resolved by staff on a timely basis so as not to adversely impact Physician Organization Service to Posting benchmarks.
  • Monitors manual charge entry process through the GE-CB BAR, TES and Anesthesia Module and Scheduling applications to ensure an adequate workflow. Designs and implements strategies to improve overall employee performance. Creates productivity benchmarks and utilizes GE-CB Database Management application and Excel to provide reports on staff productivity and performance to Senior PO Business Office management. Provides feedback to individual staff regarding performance and orients/trains and counsels staff as needed. Creates, monitors and communicates team goals. Keeps abreast of new regulations related to coding and reimbursement by attending seminars. Holds monthly staff meetings to provide feedback and communicate new initiatives and policy changes.
  • Reviews and monitors TES edit reports for timely and adequate resolution of registration, charge entry and coding errors. Develops TES edit conditions for centralized billing groups based upon edit trends and rejections. Periodically meets with and communicates to the GE-CB Applications Project Manager to review effective TES edit operational procedures and create edits.
  • Monitors data entry into the Charge Entry Audit, Emergency Department, Anesthesia and Radiology Project databases for accuracy and productivity. Assesses pertinent data to compile and generate statistical reports from the databases to present to Department Chairs, Department Administrators, Physicians and POBO Senior Management. Implements and executes changes to the processes to streamline operations and increase efficiency.
  • Develops, directs, initiates and maintains operational processes for Department of Radiology and Emergency Billing. Coordinates activities to ensure adequate and efficient operations on performance with recommendations for improvement and revenue enhancement.
  • Reviews the GE-CB Procedure Code and pricing dictionary accordingly for the Departments of Anesthesia, Emergency Physicians and Radiology and communicates any changes or updates to the GE-CB Applications Support Staff.
  • Utilizes GE-CB Database Management System and Microsoft Office Products (Access, Excel, Word, PowerPoint) to compile statistics and assist the Professional Billing Administrator for Operations. Communicate regulatory changes on CPT code utilization and the impact the reimbursement, and address the operational needs of the practices managed by the POBO Office.
  • Documents, orients and trains new and existing employees on departmental policies and procedures.
Qualifications:
Minimum Requirements
  • Bachelor's Degree required.
  • Two to four years of physician billing experience.
  • A minimum of 2 years of supervisory experience in a large academic medical center.
  • Extensive use and knowledge of automated practice management system (IDX billing system preferred).
  • Knowledge of CPT, ICD-9, and modifiers required.
  • Proficiency in Microsoft Office specifically Access and Excel required.
